New Employees

Welcome to UW-Stout! We are so pleased that you have joined us!

The information below will guide you through the process of getting on board at UW-Stout.


  • Complete your criminal background check. You will receive an email from GIS ( with further instructions.
  • Return signed contract (unclassified employees only).
  • Complete new hire paperwork on or before your first day.
  • Submit official transcripts to the Human Resources Office or send electronically to (unclassified employees only).
  • Obtain a parking permit: Employees are able to purchase a permit online. A courtesy, one-week permit can be requested by completing the permit request form.


  • Obtain a Stout OneCard campus card. You should bring your driver’s license to the Campus Card Office where your photo will be taken.
  • Activate your email. Contact your supervisor for your username and campus ID. You must set a default password for your account at and choose "activate new account".
  • Ensure your email is put into the UW-Stout notification and alert system, StoutAlert.
  • Meet with your supervisor and discuss the Supervisor Orientation Checklist. The checklist contains information that your supervisor will cover with you during your first month of employment.


  • Review health benefits and submit enrollment form (benefit-eligible employees only) within the first 30 days of employment (time and location of your orientation will be communicated with you). If you do not enroll in benefits when first eligible, you have limited chances to enroll in the future.
  • Explore My UW System portal, a secure portal where you can view: earning statements, W-2's, leave balances, benefit information. The portal also includes time sheets and leave reporting.
  • In your My UW System Portal, verify your
  • If your business information is incorrect, please submit an AskHR ticket with your correct business address.
  • Order your UW-Stout name badge. Your badge will be sent to you via campus mail once it is received.
  • Attend the New@UW-Stout Orientation Program. This program is offered 4-5 times a year and will provide you with an introduction to the UW-Stout Culture and important policies and procedures.
