Plan Your Group Visit

Admissions Group Visits are designed for groups of 6+ students in grades 9 - 12 (ex: college access groups, organizations, clubs, or high school groups). We enjoy organizing information sessions and campus tours with prospective college students in mind. Note: If you plan to bring 5 students or less, please use our regular weekday scheduling process and register each student individually.

Please provide at least two weeks’ notice for a group visit, as it will allow us to personalize the visit based on your request.

What to Expect During Your Visit

A standard Group Visit is about 2 hours and includes:

  • UW-Stout Admissions Presentation (45-60 min.)
  • Campus Tour (45-60 min.)

Additional, optional programming available:

  • Lunch in the Merle Price Commons: Complimentary lunch tickets are available to high school-aged group visits during the academic year (Depending on the size of your group, lunch can take 30-45 min.)
  • Student Panel (additional 30 min.)
  • Disability Services (additional 15 min.)
  • Multicultural Student Services (additional 15 min.)
  • Student Support Services (TRIO Program) (additional 15 min.)

Visit Preparation & Responsibilities

Participation in a UW-Stout campus visit signifies your agreement to review, share, and uphold the responsibilities and guidelines detailed in the following sections.

Before Your Visit: Planning & Preparation
  1. Ensure adequate chaperone coverage; we recommend 1 adult chaperone for every 10 students.
  2. The group’s lead contact will provide a day-of-visit cell phone number during the planning process and will carry this phone during the visit. Ensure your campus contact has this.
  3. Review the UW-Stout Emergency Response Guide.
  4. Review the UW-Stout Campus Map and understand where you need to go upon arrival.
  5. Determine how bathroom breaks will operate within your schedule.
  6. Review additional visit instructions from campus units that may have been sent in advance (if applicable).
  7. Plan to arrive at least 15-30 minutes prior to the start of your visit. This will allow time for parking, unloading, bathroom and water break, and time to arrive at your first campus activity on time.
Before Your Visit: Prepare Your Students

Student Expectations

Chaperones should review and share the following expectations with their students prior to the visit:

  1. Wear comfortable walking shoes & be prepared/dress for the weather, as tours occur rain or shine.
  2. Visitors are expected to conduct themselves in a courteous and respectful manner.
  3. Visitors will use a voice level that is appropriate while inside campus buildings.
  4. Visitors will not leave the group or chaperone(s) at any time during the visit.
  5. Visitors will not use electronic devices during tours, presentation, or sessions unless asked to do so.
  6. Visitors that are deemed disrespectful by the UW-Stout campus staff will be asked to change their behavior. If the visitor continues their behavior, the presentation, tour, or entire visit will end.

Hi everyone,
I’m excited for our upcoming tour of UW-Stout! Before we go, please review the guidelines below so we can have a smooth, enjoyable, and respectful visit.

  • Dress for comfort: Please wear comfortable walking shoes and be prepared for the weather. Tours take place in rain or shine.
  • Be respectful, people are learning, working and living here, don’t disrupt classes and activities. 
  • Use appropriate volume: Inside campus buildings, please keep your voice at an appropriate level.
  • Stay with the group: Do not leave your group or chaperone at any point during the visit.
  • Limit device use: Phones and other electronics should not be used during tours, presentations, or sessions unless specifically asked to do so.
  • Follow staff instructions: If a UW–Stout staff member finds behavior disrespectful, they will ask you to correct it. Continued issues may result in ending the presentation, tour, or the entire visit.
  • Engage and enjoy: Listen carefully, come prepared, ask questions, and have fun! UW–Stout is excited to welcome you to campus.

Day of Visit: Student Expectations

Before stepping off the bus, share the following verbally with your students:

  1. Remember this is an active campus: people are learning, teaching, working, and living here. Please be respectful and avoid disrupting classes or activities. 
  2. Inside buildings, use indoor voices: keep your volume appropriate. 
  3. Stay with your group and chaperone at all times. No one should go off on their own. 
  4. Put phones and devices away during tours, presentations, or sessions unless a staff member tells you otherwise. 
  5. Follow instructions from UW-Stout staff if behavior becomes disrespectful, the visit may be stopped. 
  6. Be curious, listen, ask questions, and have fun. This visit is a chance to explore possibilities for your future: make the most of it.
Day of Visit: Chaperone Responsibilities
  1. All adult chaperones/group leaders should have a copy of the campus visit confirmation/itinerary.
  2. Familiarize yourself with where emergency exits and bathrooms are in the building you are visiting. Ensure your students are aware and do not wander around buildings unattended.
  3. Chaperones must actively engage in sessions and always supervise students.
  4. Chaperones must take responsibility for students’ behavior on campus. Tour guides, faculty, and campus staff will not act as chaperones for your students.
  5. Chaperones are responsible for reporting incidents outlined in the reporting responsibilities section of this document.
Reporting Responsibilities

All Incidents with minors shall be reported immediately to the University Police at 715-232-2222 and your UW-Stout
program contact. All staff or volunteers of an event must comply with obligations within this section and Executive Order 54. Incidents include, but are not limited to: 

  1. Incidents of serious physical harm requiring professional medical attention.
  2. Suspicious or observed inappropriate behaviors by either an adult or youth participant.
  3. Any suspected physical abuse, neglect, or sexual abuse of a minor.
  4. Incidents involving sexual assault and/or misconduct of a minor must be immediately documented and escalated to the institution’s Title IX coordinator. 
  5. Incidents of illegal or unauthorized drug or alcohol use.
  6. Lost participant.
  7. All employees, staff/volunteers who will be present during the event must be advised of their obligations to report an Incident or threat of child abuse or neglect or learn of an incident or threat of child abuse or neglect.

 

Group Visit Driving & Parking Directions

Driving Directions

From Interstate I-94, take Exit 41 then follow Highway 25 south into Menomonie for about three miles. Turn left onto 10th Ave. E.

Please drop students off at the skyway crosswalk between McCalmont Hall and the Vocational Rehabilitation Building. Our staff will be there to greet your group. Please call 715-232-2555 when you are 10 minutes from campus.

Parking Directions

Traveling by Bus? Bus parking may be available but on a case-by-case basis. You will need to confirm availability with the Group Visit Coordinator before your visit, find street parking off-campus, or park in the Walmart parking lot on the north side of Menomonie.

Traveling by Car? We're happy to offer complimentary parking for your visit. Please let the Group Visit Coordinator know if you plan to bring a car or van. Parking must be reserved in advance using the access code and instructions we provide.
