Printing Services provides convenience photocopiers to all academic units of the campus in order to meet the educational and administrative copying needs of faculty and staff. They are not furnished for Residence Halls or the Memorial Student Center, nor are they provided for student use in the library. The general rule is that copying services are provided for any need that can be charged to a university account.
Departments are not allowed to purchase their own copiers, but are required to subscribe to the centrally administered program. The photocopiers provided are obtained from the Department of Administration photocopiers contract. This contract determines the purchase price and maintenance and supply cost.
There are no restrictions on how many copiers may be in use at UW-Stout. The decision of where copiers are located is made by the Account Administrator based on requests from departments, and in consultation with that department. The final decision regarding copier choice and location is usually a compromise between cost and convenience.
The office maintains service contracts, as well as toner and paper inventories for each photocopier. Rates are set each fiscal year based on the price of the copier and the complete cost of operation, which includes spoilage and overhead.
Individual users are assigned an electronic access "credit card" that activates the copier. A user fee, assessed each month based on the number of copies made, appears as a charge on the account bill in class code 53203. A detailed report showing the use of each card is available online as a Datatel report.
