"SPRING MOVE OUT" subcommittee meeting
Present:
Randy Eide- City of Menomonie

- Keith McCarten will make sure the entire west side of parking lot #29 is reserved.
- There should be enough room for two 30 yard dumpsters (24 feet long each), large canopy (make sure it uses sand bags), Hope Gospel Mission (cube van).
- The canopy will be closest to the 13th avenue side to give maximum exposure for the event.
- The Hope Gospel Mission truck will be closest to the canopy.
- Keep heavy equipment (i.e. front end loaders) to the south.
- Keith McCarten will make sure cones are available to delineate a safety lane. He will also make sure barricades are in place EARLY to prevent non-event folks from parking in this part of the lot. Keith will also provide parking permits for all volunteers- he’ll get the approximate numbers from Raina
- Jim Davis (Veolia) will make sure the roll-offs are at the event by 8:30AM. They will be picked up sometime after 3:30PM. Volunteers will make sure the roll-offs aren’t blocked so they can be removed at the end of the event.
- Veolia will also bring 12 safety vests for the volunteers to wear.
- On Friday, Veolia will provide hotdogs and Dunn County Solid Waste will provide sodas for all volunteers and students who bring reusable items.
- Bob Dodge has a flat bed truck he can use to help with any excess roll-off materials (bring them to the transfer center). He will also make sure there is plywood available to place under the roll-offs to prevent damage to the black top. Bob will also bring some recycling and garbage bins for the hotdog and soda waste.
- Krista will contact the canopy company to reserve a sandbag style canopy. She will also contact Lori Anda Bowen (sports and fitness center) about using their sandwich boards for advertising next to the parking lot. We want to make sure the notice “Don’t leave stuff over the weekend or it will get ruined” is displayed well so that students don’t leave items in the parking lot over the weekend.
- George will provide a flyer on household hazardous waste for the 2 day event to help educate students on safe ways to dispose of these wastes.
- Raina will work with the volunteers to make sure they wear safety vests and are aware of safety issues. It was suggested that she have a sign up sheet that volunteers sign AFTER they’ve received the safety brief. All volunteers should use the first floor restrooms in the sports and fitness center
- Linda Walsh will send a billing address to Jim Davis for Monday’s event (the GMACF account information). Veolia will invoice the City for Friday’s event. Linda will also contact Hope Gospel Mission before the events to make sure everything is good to go. We need to know how much stuff they took and approximate dollar value (for promotional purposes, writing grants).
- Don will contact the food pantry to see if they will provide containers for food donations.

Financing
- Randy Eide- City is contributing $700.00 for the 2 roll-outs on May 16th; they will also make sure a front loader is available for the event
- The roll-outs on May 19th will be paid using funds from the newly created “Spring Move Out” GMACF account. Money will be deposited to this account from Sustainable Dunn ($300.00, American Edge Real Estate ($300.00), and UW-Stout IRHA ($250.00).
- Overruns (after the 2 roll-outs are full for the day) will be paid for by Dunn County. In addition Bob Dodge suggested that a Stout-owned flat bed truck can be used to haul overruns to the transfer center.
- The Stout Student Association (SSA) will cover advertising costs.
- On Friday May 19th Veolia will be providing hotdogs and Dunn County Solid Waste will be providing soda for all people who bring items to the event. In the advertising, we need to say that hotdogs and soda will be provided until supplies last. Bob Dodge will provide recycling containers for the soda cans.
- Don Kuether, Linda Walsh and Krista James will be submitting a GMACF grant proposal requesting $770.00 to be used for this year’s event
- It was decided that the committee should explore ways to make this an annual event with long-term funding
- George Hayducsko will work on writing a Community Health Foundation Grant proposal for the 2009 event.
Logistics
- Raina Clark, Keith McCarten, Bob Dodge, Randy Eide, George Hayducsko, Linda Anderson, Jim Davis and Krista James will meet on Monday, April 14th 10AM, City Hall to plan the logistics for the days of the event. Bob will organize this meeting.
- It was suggested that campus police officers patrol the area on Saturday and Sunday (May 17-18) to prevent people from dropping off stuff in the parking lot (#29) over the weekend.
- Matt and Keith B. (Dunn County Health Dept) still haven’t found volunteers (who own pick up trucks) to help off-campus students bring items to the drop off site. Don Kuether said he’d try to get volunteers from Sustainable Dunn. He’s also going to volunteer. We need to make sure that all our advertising includes information about this service. However, it was suggested that people should call ahead of time if they need help just so we can plan ahead of time.
- Krista talked to Jim Davis of Veolia. He will try to have his drivers help us monitor large items at the residential hall dumpsters so we have data to determine residential hall inclusion for next year.
- It was decided that this would be the last large group meeting. The logistics and advertising subcommittees may continue to meet as needed.
Advertising
The advertising subcommittee met on March 26, 2008 at UW-Stout. Emily Ascher, Krista James, Amy McGovern and Martin Fritz were in attendance.
- Start advertising campaign on May 1st (get posters done by April 18th)
- Campus posters to get the word out.
- Bathroom stalls in businesses (bars, restaurants, grocery stores)
- Campus daily email 4 times
- Raina agreed to host information on her website
- SOC and Student Information desk will be contact- open on May 16th and 19th?
- Facebook, MySpace group/page- Emily Ascher
- Work with SSA to send electronic copies of flyer to landlords
- Work with the library to concentrate posters and possibly a table to advertise the program
- Jane Henderson or Margy Ingram would know where laptops are returned- we could concentrate advertising there as well.
- Stoutnic- outside picnic
Emily Ascher met with the Stout Student Association (SSA) on Tuesday, April 1st. After seeing the presentation the Stout Student Association would like to thank all of those involved for the start-up of such a great program. The students were engaged during the program with many questions. Upon concluding the program all those students involved agreed that SSA needed to make a commitment to the Spring Move Out project. Under Emily’s supervision the Stout Student Association will:
- Draft a letter for all off campus landlords and send it to them via their email distribution list, encouraging that each individual landlord spread the word about the benefits of the program.
- Help cover the cost of printing posters with Housing and Residence Life
- Work with Housing and Residence Life design staff to create a flyer for distribution at key campus locations during the end of the semester.
- Pay for the copies of flyers for distribution at key campus locations during the end of the semester.
- Facilitate the facebook groups and pay for the facebook advertisements for students.
- Facilitate the daily emails highlighting the program, that are sent to all students.
- Send out campus wide emails to all organizations advertising the event and encouraging volunteers
- Spread the word on campus via word of mouth.
- Help in any other way that they can!

Program Costs:
- $350.00 per roll-off (tipping fee and hauling charge- everything; thru Veolia)
- 2 roll-offs per day (4 total roll-offs= $1400.00)
- $150.00 advertising (posters, flyers for campus and landlords)
- Funds are available to cover the $1550.00 proposed expenses: $300.00 American Edge Realty; $300 Sustainable Dunn; $700.00 City of Menomonie; $250.00 IRHA UW-Stout
- Emily Weise, Emily Ascher and Krista James will work with the Stout Student Association to obtain more funding to cover the cost of a canopy for the days of the event. A1 Rental is giving us a 10% discount: 30ft x 45 ft canopy at $385/day; 30ft x 60ft canopy at $520/day.
- Don Kuether, Linda Walsh and Krista James will write a Greater Menomonie Area Community Foundation (GMACF) grant proposal to obtain funding for additional roll-offs for the 2 day event and start-up money for next year’s event
- Dunn County Solid Waste will also write a Community Health Foundation grant proposal to obtain additional funding for additional roll-offs and start-up funds for next year
- Linda Walsh will open a “Spring Move Out” account with the GMACF.
Things to do for our next meeting
- Matt and Keith B (Dunn County Health Dept) will contact churches to see if they will volunteer during the event. Pickup trucks and drivers will be needed to help off-campus students bring items to the drop off site.
- UW-Stout Spring Move Out committee members will meet before the April 9th meeting to provide input on the May 16th and 19th event
- Logistics for the 2 day event
- Determine how reusable items can be diverted from the residence hall dumpsters. Currently Martin Fritz is helping to organize donation containers at each residence hall. Items will be donated to the Baptist church and Menomonie food pantry. However, furniture and other items can be taken to the May 16th and 19th move out event. We just need to figure out the logistics.
- Advertising the event- there will NOT be a mass letter mailing (too expensive and uses too much paper); instead, we will focus on using the all campus student email, Facebook, MySpace, and campus posters to get the word out. We will also put together a flyer for landlords such as American Edge

It was also decided to keep the location the same for both dates, parking lot 29 at UW-Stout. Rationale:
Most off-campus housing is located on the south side of campus
On-campus students will most likely have smaller items to donate and can easily walk those to the drop off site
UWEC also uses this system

“SPRING MOVE OUT”

Don Kuether and Linda Walsh (Sustainable Dunn)
Problem:
Students moving out at the end of the spring semester often leave reusable large items (i.e. furniture and appliances) at the curbside (off-campus living) or next to the Stout dumpsters (on-campus housing). Items located next to off campus housing are often left exposed to the weather for weeks before they are disposed of properly; thereby making them unusable.
Possible Solution:
To address this community-wide problem, the committee decided to pursue a “Spring Move Out” event for on-campus and off-campus students. The committee hopes to create a program that is sustainable, similar to the one being used in Eau Claire which is now in its seventh year.
Different tasks were assigned to committee members in preparation for our next meeting scheduled for Thursday, January 17, 2008, 9:30AM at the Acoustic Care.

- Talk with Keith McCarten about holding the event in a designated parking lot on campus
- Talk with Linda Anderson about getting residential life involved

- Determine if incentives are necessary to encourage off-campus student involvement
- Talk to John Dotseth about using an empty trailer to either store items over the summer or haul items to Hope Gospel Missions in Eau Claire

- Talk with Amy McGovern about getting RAs and other residential staff involved in the event; the goal is to get the on-campus items to the designated parking lot, rather than the dumpsters at the dorms
- Talk with Mary McManus about getting The Involvement and Leadership Center engaged
