Event Planning Questions

Basic Questions:

  • What is the date(s) and duration of your function?
  • What is the number of attendees and rooms needed?
  • Will you need catering?
  • Will you need a group meeting space?
  • Will you be the sole contact or will others handle catering, registration, etc?
  • Who will be authorized to make changes for your group involving extra costs?

Accommodations:

  • How many will need lodging, and is this an estimate or guaranteed number?
  • What is the number of people in each room?
  • Are there any special needs?
  • Who will be responsible for making reservations and payment?

Function/Meeting Spaces:

  • What is the type of function (meeting, seminar, banquet)?
  • What size of space will be needed?
  • What will the set-up style be?
  • What will be the duration of the function(s) and the start and finish times?
  • Will there be any A/V equipment needed?

Food/Beverages:

  • What is the number of people being served?
  • What will the menu include, and how would you like it served (i.e. buffet, box, plate service)?
  • Do you have any special dietary requirements?
