NOTE: ILLiad is the name of our interlibrary loan system. Use ILLiad to request books, journal articles, videorecordings, theses, etc.
How to Verify the Mailing Address for Delivery of Requested Materials
Before requesting materials, verify the mailing address to which the interlibrary loan materials will be sent via U.S. Mail.
- Login to Illiad.
- Click on the Change User Information button.
- If the stated information is incorrect, use the links at the top Status bar of the page to make changes. Personal information, taken from Stout's Datatel database, is updated Tuesday through Saturday.
- Do not submit requests for materials that cannot be sent electronically until the mailing address is verified and correct.
- You will be charged for lost materials.
How to Request Books, Theses and Audiovisuals Owned by the UW-Stout Library
- From the Library Home Page choose Catalog from Off-Campus.
- Search for, and identify, item(s) needed. Subject requests will not be accepted.
- For non-circulating items, refer to the reference or non-circulating sources section below.
- For circulating items:
- Login to ILLiad and click on either the Request a Book or the Request a Thesis form.
- Audiovisuals may be requested by using the Request a Book form.
- Use one form for each item requested. Make a separate request for each volume of a multi volume set.
- Enter the citation information into appropriate spaces.
- Fill in the Distance Education section of the form.
- In the Notes box, enter the Stout Library location and call number.
- Stout distance education students and staff are not charged for delivery of Stout Library-owned materials.
- Plan ahead and allow time for materials to be delivered. Within the United States it may take as long as 2 weeks, even when sent by first class U.S. Mail. It takes longer when sent outside of the United States.
- The item(s) will be checked out to your account. Verify the address to which it will be sent.
- A notification will be sent to your UW-Stout e-mail account when the item(s) has been mailed.
- If a notification is received, but the item (s) is not received, be sure to notify Interlibrary Loan (ILL) staff at 715-232-1112.
- You will be billed for any replacement costs.
- The DE student is responsible for returning library material at his expense, by mail or an alternate method of his choice, by the due date that is on the book strap wrapped around each item. A return mailing label is provided.
How to Request Articles or Book Chapters Owned by the UW-Stout Library
- From the Library Home Page choose Indexes and Databases.
- Search for, and identify, the article(s) or book chapters needed by using the appropriate online database from the Indexes and Databases page. Subject requests will not be accepted. For assistance in developing a search strategy or finding appropriate articles on a topic, contact the Reference Desk (715-232-1353) or e-mail Ask a Librarian.
- Determine if the Stout Library owns the journal, magazine, or newspaper that the article is from:
- Click on the Find it! link (if available) which links to full text when available or to the Stout Library Catalog to indicate holdings in the library building, or
- Do a journal title search in the Periodicals Holdings List and check the information on recent and previous issues. (Start at Library Home Page; choose Journals/Mags/News@Stout; then choose Periodicals Holdings.)
- If it is not full text online, for each article requested, provide a full citation: author (when available), title of article, source (journal, magazine, or newspaper), volume and issue number (if any), page numbers, and publication date.
- If the article citation has a Find it! link: click on it.
- Then click Request Item from Another Library via ILLiad.
- Login to ILLiad. The citation information automatically transfers into the Request a Photocopy form.
- Fill in the Distance Education section of the form.
- Promptly submit the request as the form "times out".
- If there is not a Find it! link:
- Login to ILLiad.
- Click on Request a Photocopy.
- Enter the citation information into appropriate spaces.
- Fill in the Distance Education information and submit.
- For each book chapter requested, provide a full citation: author of the chapter (if available), title of the chapter, author or editor of the book, title of the book, publication date, page numbers of the chapter, Stout Library's location and call number. The book chapter cannot exceed 50 pages in length.
- Login to ILLiad.
- Click on Request a Book.
- Enter the citation information into appropriate spaces.
- Fill in the Distance Education information and submit.
- In the Notes box, enter the Stout Library location and call number.
- NOTE: The Find it! link does not correctly transfer information about book chapters into forms; you must do it!
- If you need help completing this form, contact the Stout Library's Reference Desk (715-232-1353) or e-mail Ask a Librarian.
- To enter information directly into a request form for an article or book chapter:
- Login to ILLiad and click on Request a Photocopy.
- Be sure to fill in the Distance Education section of the form.
- Stout distance education people are not charged for requests of Stout Library-owned materials.
- Articles or book chapters will be sent to your Stout e-mail account, usually in the form of a PDF file.
- Instructions for retrieving the article or chapter will be e-mailed to your UW-Stout e-mail account as soon as the item is available.
- Adobe Acrobat reader software is needed to view the PDF file and can be downloaded for free.
- If having difficulties retrieving electronic documents, contact Interlibrary Loan staff at 715-232-1112 or docdel@uwstout.edu as soon as possible; documents are scheduled to disappear within a short time. If they disappear, ILL staff may be able to retrieve them.
- Copies will be in black and white.
How to Request Information from Stout Reference or Non-circulating Sources
- From the Library Home Page choose Catalog from Off-Campus.
- Search for, and identify, the reference or non-circulating source needed. Subject requests will not be accepted.
- Login to ILLiad and use the Request a Book form.
- Enter the author (if any), title, location, call number, date, and pages into the appropriate spaces. The request cannot exceed 50 pages in length.
- Fill in the Distance Education section of the form.
- In the NOTES field enter the Stout location and call number for the item. Indicate that a copy needs to be made from the book and the page numbers to be copies.
- The copy will be sent to your Stout e-mail account, usually in the form of a PDF file.
- Instructions for retrieving the copy will be e-mailed to your UW-Stout e-mail account as soon as the material is available.
- Adobe Acrobat reader software is needed to view the PDF file and can be downloaded for free.
- If having difficulties retrieving electronic documents, contact 715-232-1112 or docdel@uwstout.edu as soon as possible; documents are scheduled to disappear within a short time. If they disappear, ILL staff may be able to retrieve them.
- Copies will be in black and white.
How to Request Books, Theses and Dissertations Not Owned by the UW-Stout Library
Items not owned by UW-Stout will be requested from another library.
- Verify the address to which it will be sent.
- Enter the item's bibliographic information into the request form:
- Login to ILLiad.
- For books:
- Click on Request a Book.
- Provide the author, title, publication date, publisher, and ISBN (if available).
- Fill in the Distance Education section of the form.
- Click Submit Request.
- For theses or dissertations:
- Click on Request a Thesis.
- Provide the author, title, publication date and school at which the thesis or dissertation was written.
- Fill in the Distance Education section of the form.
- Theses or dissertations may only be available from the university library where the thesis or dissertation was written; often those libraries will charge for lending.
- Indicate how much you are willing to pay if it is only available with a cost. Stout Interlibrary Loan staff makes every effort to obtain items at no cost to you in the most expedient way.
- Stout Interlibrary Loan absorbs charges for each request up to a certain amount, but the cost of obtaining a particular item may exceed that amount. At that point, to receive the item you will need to pay any additional costs.
- If the Maximum Amount Willing to Pay section is left blank, it will be assumed that you are not willing to pay for the item.
- If the item cannot be obtained at no charge to you, you will be notified via e-mail that the request has been canceled.
- Click Submit Request.
- If you decide later that the item is important enough that you are willing to pay for it:
- Login to ILLiad.
- Click View/Resubmit Cancelled Requests to resubmit your request and indicate how much you are willing to pay.
Plan ahead and allow time for materials to be delivered.
- Requested materials are sent by the owning libraries to Stout. Sometimes they use a slower mail rate than first class U.S. Mail.
- Upon receipt from the lending library, the Stout Library will immediately mail the item(s) to you by first class U.S. Mail.
- A notification will be sent via your UW Stout e-mail account when the item(s) has been mailed.
- If a notification is received but the item is not received, be sure to notify Interlibrary Loan staff at 715-232-1112.
- You will be billed for any replacement costs, including any fines or fees that the owning library charges.
How to Return Materials to UW-Stout
- The DE student is responsible for returning library material at his expense, by mail or an alternate method of his choice, to Stout Interlibrary Loan, by the due date that is on the book strap wrapped around each item. A return mailing label is provided.
- To extend a due date, contact Stout Interlibrary Loan at 715-232-1112 or docdel@uwstout.edu. The Stout Library staff will contact the lending library to determine if this is possible.
How to Request Articles and Book Chapters Not Owned by the UW-Stout Library
- From the Library Home Page choose Indexes and Databases.
- Search for, and identify the article(s) or book chapters needed by using the appropriate online database from the Indexes and Databases page. Subject requests will not be accepted. If you need help developing a search strategy or finding appropriate articles on your topic, contact the Reference Desk (715-232-1353) or e-mail Ask a Librarian.
- Determine if the Stout Library owns the journal, magazine, or newspaper that the article is from:
- Click on the Find it! link if available in the database you are searching to determine if another Stout database has the article full text or if the Stout Library catalog shows that the periodical is owned by Stout, or
- Do a journal title search in the Periodicals Holdings List and check the information on recent and previous issues. (Start at Library Home Page; choose Journals/Mags/News@Stout; then choose Periodicals Holdings.)
- If it is not full text online, for each article requested, provide a full citation.
- If the article citation has a Find it! link: click on it.
- Then click Request Item from Another Library via ILLiad .
- Login to ILLiad. The citation information automatically transfers into the Request a Photocopy form.
- Fill in the Distance Education information.

How to Check the Status of a Request

- Click View/Modify Outstanding Requests.
How to Borrow Materials Directly from Other UW Libraries: For Students and Staff Living in Wisconsin
Students enrolled at any University of Wisconsin campus have reciprocal borrowing privileges and may check out materials at any University of Wisconsin library. You may find that using a library closer to you will be more convenient.
- Universal Borrowing Universal Borrowing allows for direct online requests of circulating books and AV materials (videos, sound recordings) from other UW libraries. Materials may be requested from any UW library and be returned to any other UW library.
- Using Other UW Libraries
- Present your valid UW-Stout ID card to the circulation staff of the individual library.
- Materials checked out directly at another institution follow Universal Borrowing loan policies:
- Books: generally 28 days. Some UW's have longer loan periods.
- Videos, DVD's and EMC (IMC): 14 days.
- Renewals: 28-day items can be renewed once if no holds are on them.
- Other items may not be renewed. NOTE: Some UW libraries may recall items before their due dates. Stout Library users are expected to return these items at the owning library's request.
How to Return Materials to other UW System Libraries
- Materials may be returned in person, via mail, or possibly via a van delivery system operating among the UW campus libraries and some other Wisconsin libraries. Contact your local library or the Stout Library's Interlibrary Loan staff at (715) 232-1112 or docdel@uwstout.edu about van delivery service.
- You are responsible for any fines or fees that might be incurred by borrowing materials directly from other University of Wisconsin libraries.
