Interlibrary Loan Instructions

 Introduction

Interlibrary Loan (ILL) facilitates the use of library materials not available at UW-Stout or any of the other UW System Libraries. Students and faculty/staff with both active UW-Stout email accounts and ID's, and emeriti, are eligible to make requests. Loans (e.g., books) are held for checkout at the Circulation Desk. Scanned journal articles or book chapters are delivered to the requestor's ILLiad account, where they can be viewed or downloaded for 21 days. Many ILL requests are filled within a few days, but some take 1-2 weeks or longer.

Cost

For the typical ILL request, the UW-Stout Library absorbs all costs. A small number of transactions require co-payment (rarely more than $5-10), in which case the requestor is notified and asked to either accept the terms or cancel the request. Co-pay fees are billed after the transaction is complete. No co-pay request is fulfilled without approval.

Restrictions

Interlibrary Loan staff may cancel requests that are not within UW-Stout’s mission of research, teaching, and scholarship. Please also note the resources which are not available through ILL:

  • Materials available at the UW-Stout Library
  • Textbooks used at UW-Stout
  • Requests which violate copyright law
  • Some theses and dissertations
  • Items that no library will lend

Procedures for Submitting Requests

All ILL requests must be submitted through the Library's software program, ILLiad. Requests/information can be typed/keyed into the form or imported from an article database or WorldCat record. Google Scholar is another avenue for starting ILL requests—search results link to UW-Stout Library resources, including ILLiad.

Once submitted, a request is processed by library staff and sent to potential lending libraries. Depending on availability, turnaround ranges from 24 hours to 1-2 weeks.

Manual Requests (Fill in a form)

  1. Login to ILLiad
  2. Click a request button
    • Request Article or Other Copy: Scanned articles, book sections, etc.
    • Request Book or Other Loan: Loaned items such as books, DVDs, CDs, etc.
  3. Fill in all required fields—additional information speeds processing. More: Distance Learners
  4. Click Submit Request

Requesting from Article Databases

 Find It!When searching in databases, look for full text icons. If there are none, click the Find It!  button. If the article is full text in another database, this button links to that database; if it is in the library building, a location in the library and the article's format is given.

If not owned, click the link to Illiad and login; the citation information will automatically fill in the form.

Requesting from WorldCat

Loan requests placed from WorldCat also populate automatically with citation information. Just click the Request from Non UW Library link near the top of any WorldCat item record.

Google Scholar

Google Scholar links to UW-Stout Library resources, including ILL. For more information see the Google Scholar help page.

Responsibilities

  • You are responsible for knowing due dates for your loans and for returning them on time.
  • You are responsible for any charges resulting from late, lost, or damaged items.

Renewals

  • ILL loans are eligible for a maximum of one renewal per transaction; some lending libraries do not allow any renewals.
  • To request a renewal, please contact the ILL office before the issued due date.
  • Lending library policies vary—renewals may be granted, but are not guaranteed.
