Stout Student Association Daily Email Guidelines

The Stout Student Association serves as a clearinghouse for “all campus” emails. This service does not replace or modify any other service by an office on campus, which may have access to “all campus” emails. To request a daily email one must be a member of UW-Stout’s faculty, staff or student body. Also the email request must represent more than one person’s interests. For example a single student offering his/her service to the campus is not acceptable but a group of students offering their service is acceptable. In general only student organizations and campus departments may request daily emails.

  1. Requests for Mass Email must be received two days in advance, and must include a date of distribution.
  2. Information must be applicable to all students (not just graduating seniors, freshmen or any other segmented groups.)  
  3. All information must include contact information including: relationship to said message, contact email and phone number. 
  4. The SSA reserves the right to reject email, and edit them accordingly for content.  The SSA reserves the right to modify these rules as it sees fit.
  5. Request will only be run twice.  Once prior to the event, and again on the day of the event; and only at the request of the event sponsor. New Requests take priority over reminder requests.

Email Style Guide:

  1. The body of the message must contain less then 75 words .
  2. Only these four fonts are acceptable: Times New Roman, Verdana, Courier New and Arial.
  3. Text may be bold, underlined, italics or of any color other then yellow (yellow is difficult to read.)
  4. For the body of the message only a 10pt font may be used, for the header only 14pt font may be used.
  5. Up to two hyperlinks may be included per email (webpage addresses.)
  6. Attachments and images are unacceptable .
