The University Archivist has determined for each department on campus a arecords retention/disposition procedure and the Archivist creates and Records Disposal Authorization. Records (hard paper copy) housed in each department may be transferred to the University Records Center (URC) for storage and dispostion. Office record storage boxes are to be used only for transmittal of records for each retention period. University Archives will only accept hard paper copies.
URC will accept read only CD's (housed in jewel cases). Read only CD's prevent any alteration of information on the CD and secures the data.
Two copies of the Records Transmittal Form must accompany each record storage box. One copy will be returned to the department with a locator number assigned and one copy will be retained by the URC coordinator.

Prior to records being transferred to URC, it is necessary to contact Susan Hanson at ext.-1136 to ensure proper arrangment and transfer of records from the department to URC.
