[hidetoc]Use ILLiad for Distance Education Requests
The library uses Illiad—our Interlibrary Loan (ILL) management system—to facilitate Distance Education (DE) requests for books and articles. Delivery time is dependent on where the item is retrieved from: Stout’s local holdings, a UW System library, or another library.
Regardless of their source, all materials are delivered directly to you in one of two ways:
- Scanned documents are sent to your online ILLiad account and are available to view or download for 21 days.
- Loaned items (books) are checked out to you and shipped to your home address. You must return loaned items to Stout on or before their due dates.
Document Delivery and Interlibrary Loan
Unlike campus users, DE students and faculty are eligible to request Stout library materials through ILLiad; this service is called Document Delivery. DE requests that cannot be filled as Document Delivery are automatically routed to Interlibrary Loan (request from another library).
Question:
What difference does it make if my request is supplied by Stout (as Document Delivery) or another library (as ILL)?
Answer:
Time and money. All you need to do is use the Illiad form for either service. Just be aware that because of where the item comes from, delivery time and cost may differ between items.
Document Delivery requests (Stout items) are free and usually ship within 24 hours. ILL requests (from other libraries) can take several days (even weeks) to fill and sometimes require a patron contribution. It’s in your best interest to plan and request accordingly.
Basic Request Submission
- Login to Illiad
- Click a request button
- Request a Photocopy: Articles, book sections, etc. (scanned and delivered electronically)
- Request a Book: Loaned items such as books, DVDs, etc. (shipped to your home address)
- Request a Thesis: Theses or Dissertations (format and delivery method varies)
- Fill in required fields; additional information can speed processing
- For “Are you a Distance Education Student?,” select Distance Education
- For “Maximum Amount Willing to Pay for This Item,” enter your top amount. NOTES on costs:
- There is no charge for Document Delivery (i.e., Stout articles and loans)
- Most ILL requests can be filled at no cost to you (“0” for max cost); for requests later found to require a contribution, you have the option to adjust your “maximum amount” accordingly
- A contribution of $10 will usually cover remaining ILL requests; enter this as your maximum amount” as your research needs warrant
- Click Submit Request
Submitting Requests from Databases
Many requests can be submitted directly from databases as you search. Look for a Find It! button which links you to every available source for obtaining the document; our print and microform holdings are listed first, followed by online full text, and so on. The Go button next to each source links you directly to that source.
For documents not available at Stout, Find It! also displays a Go button for Interlibrary Loan. By initiating ILL requests from this Go button, the ILLiad form is automatically populated with citation information. This is a great way to both find and request research materials in a single process.
Submitting Requests from WorldCat or BadgerCat
Like article requests that are placed from databases, loan requests placed from WorldCat or BadgerCat for books and media automatically populate with citation information. Do this by clicking the Request from Non UW Library link found near the top of any WorldCat or BadgerCat item record.
UW System Libraries' Universal Borrowing Service
This is an excellent service for DE students living near another UW System school. All 39 UW System campuses participate in a shared library catalog and allow an array of in-state borrowing and returning options (Universal Borrowing service).
Onsite Borrowing: Your Stout ID gives you full onsite borrowing, and returning, privileges across the UW System.Example: Use your Stout ID to check out an item from UW-Milwaukee and return it to UW-Fox Valley.
Online Borrowing: Search and identify holdings at other UW System Libraries through the Stout Library Catalog using the Search UW-System Libraries link. There are two methods for requesting items:
- Preferred method: Login to Illiad and fill out the form using the instructions above. This triggers special processing for Distance Ed requests and alerts Stout staff to send items to you.
- Optional method for students close to another campus for material pickup: A request can be placed from the Stout Library Catalog (Request button). The form goes directly to the other library, bypassing Stout staff and thus does not alert them to send it to you.
Instead, the item is sent to a library you designate, then you pick up the item there. Items can be returned anywhere in the UB network.
Example: Log into your library account from Stout’s catalog, request a UW-Eau Claire item, change the pickup location from UW-Stout (the default) to UW-Madison, pick up and check the item out at Madison, renew it from your online account, and return it to UW Parkside.
Question:
As a DE student, why not request items directly from the UB catalog?
Answer:
Online UB is simply too automated for the non-linear aspect of DE requests. Staff mediation is needed to flag and re-route requested items to your home address. UB as a standalone cannot accommodate this level of attention.
Tracking Requests
Transactions can be tracked from the MyAccount tab of Stout Library Catalog or in Illiad (login and click View/Modify Outstanding Requests).
Returning/Renewing Loaned Items
- You are responsible for knowing loan item due dates and returning these materials on time.
- Due dates are included with all items sent to you and can be viewed from your MyAccount or ILLiad account (select View/Renew Checked Out Items).
- A return shipping label is included with all shipped items.
- You are responsible for any fees associated with late, lost, or damaged items.
- If you need a loaned item beyond the due date, contact Interlibrary Loan at 715-232-1112 about renewal options. We will ask the lending library for a renewal, but lending policies vary widely and renewals are therefore not guaranteed.
